Five Admin Tasks a Small Trade Business Could Automate
A small trade team may have an owner, an administrator or both handling enquiries. Start by asking the people doing the work which steps repeat. These five examples support their work; they do not replace the judgement needed to quote, schedule or look after customers.
1. Record structured enquiries
An enquiry from an agreed form can be recorded in one list with its reference, contact details, requested service and status. Missing required information can go into a review queue instead of looking complete. A stable reference helps stop the same request being saved twice. This is the record-only starting point for a clearly scoped £149 Quick Automation. Combining several incoming channels may need additional scope.
2. Acknowledge receipt
An approved message can tell the customer their enquiry arrived. It should say what happens next without pretending the job has been priced or booked. The person dealing with the enquiry still decides what the business can offer. Use the customer's business-owned sending account, agree the wording and verify delivery with synthetic recipients before launch.
3. Notify the right person
An owner notification can point to a newly recorded enquiry so it is easier to review between jobs. Agree who receives it, what information is needed and what should happen outside working hours. Avoid copying unnecessary personal information into several channels. Recording, acknowledgement and owner notification can be connected in the £349 Automation Bundle.
4. Create an owner reminder for a quote
An agreed delay can put a quote back on the owner's list. The owner checks whether the customer has replied, accepted or declined before following up. The tested bundle reminder is internal; it does not automatically read replies or send a customer chase. A closed or cancelled enquiry should no longer be Pending. The reminder frequency and ongoing software allowance need to fit the business's volume.
5. Keep booking requests together
A request for a visit can be recorded with its preferred time and review status. That does not mean availability has been checked or the appointment confirmed. An automatic confirmation requires a compatible booking source and explicit rules for availability, travel, exceptions and changes. Start with an organised request list if those rules are not ready; scope calendar integration separately.
Choose one process to improve first
Describe one actual example and the tools involved, without sending customer records. Agree the normal case, the exception and who owns each next step. If the enquiry route itself is hard to use, discuss a Website Upgrade from £449 separately. A clearer website and a connected workflow solve different parts of the customer journey.
