AI vs Automation: What Does Your Business Need?
Automation connects agreed steps. AI can help interpret or produce information. A business process can use either, both or neither; the right choice depends on the task and the consequences of getting it wrong.
Use ordinary automation for predictable steps
A structured enquiry arrives, its details are saved, an approved acknowledgement is sent and the owner is notified. The wording and destination are agreed in advance. None of those steps requires a model to decide what to say. Rules make it possible to check the expected result, reject incomplete information and use a stable enquiry reference to prevent duplicate actions.
Consider AI when meaning varies
A long free-text request may need a draft summary or a suggested category. AI can help with that interpretation, but its output is a suggestion rather than a fact. It might miss an important qualification or invent one. Keep the original available to the authorised reviewer and decide what needs checking. Do not let a generated summary silently become an agreed quote, booking or customer commitment.
Separate a reminder from detecting a reply
Creating an owner reminder after an agreed delay is a straightforward automation. Knowing whether a customer has replied is a different integration: it needs access to the relevant channel, reliable matching and rules for ambiguous messages. AFY's enquiry-management bundle does not automatically detect replies. The owner reviews the enquiry and closes or cancels a reminder when it is no longer appropriate.
Compare the ongoing responsibility
Both approaches need compatible tools, secure account access and someone responsible for failures. AI can add usage costs and extra review. A conventional integration can also break when a form, spreadsheet column or connection changes. Ask who will see an error, what can be retried safely and how the business pauses the workflow. A low setup price does not remove those responsibilities.
Make the smallest useful choice
Start with the repetitive step that creates the clearest inconvenience. If the problem is copying structured information, test recording first. If the problem is interpreting varied requests, discuss whether a reviewed AI draft would help. If the problem is that visitors cannot find how to enquire, a Website Upgrade from £449 may address the earlier part of the journey. It is a separate service, with changes agreed manually.
